Liquorfile Price Book Overview

LMG Marketing is an Australian based company that provide two products called Liquorfile and Liquology.

Liquorfile is a comprehensive catalogue of liquor products all linked to their associated scan codes and numerous supplier item codes.
Liquology is a data management tool that provides on and off premise product sales analysis previously unavailable within the hospitality and liquor industries. The Liquology process combines multiple venues with differing POS Systems and produces, accurate and concise data analysis.

**Please Note**

LMG Marketing can provide the customer a Liquorfile that can support both Carton's or Indirect Items as the Stock Controlled Item. Please advise LMG Marketing when arranging the interface, to advise them which method the customers uses to stock control packaged drinks.

To explain further, the following two methods can occur when stock controlling packaged drinks:

Scenario 1 - Carton of Beer is the Stock Item and 6 Packs and Singles are the Indirect item. Supplier codes are linked to the Carton, and you stock-take and stock-purchase by Carton. The downside of this method is when you counting singles you are working with fraction quantities. For example, 1/24 is 0.04. If you then multiply 0.04 x 24 = 0.96. 24 singles never equal exactly 1 unit.

Scenario 2 - Single Stubbie/Can of Beer is the Stock Item and 6 Packs and Cartons are the Indirect Items. Supplier codes are linked to the Single, and you stock-take by the Single. Using Supplier Stock Codes, you can link the Carton Supplier Code to the Single Item, to make it easy when entering invoices. This is the preffered method as you are stock controlling by the single and counting in whole units.

Idealpos has an interface to the Liquorfile and exports Liquology Sales Data. If your customers wish to use this module, you will be required to purchase the interface requires the Price Book Module (PB).



Once the Price Book Module has been added to your User Registration, A new menu option under File will appear called Price Book.



There are two scenarios in which the Price Book Interface can be implemented.

Scenario One - New Site starting with a new Idealpos Database

A customer can purchase the Liquorfile Product from LMG Marketing and purchase the Price Book module for their Idealpos software and start with a fresh Idealpos database. LMG Marketing will provide a Price Book that can be imported into a blank Idealpos database and the stock items in POS will be the same as the product codes in the Liquorfile.

Scenario Two - Existing Idealpos Customer adding the Liquorfile Interface to their System

A customer can purchase the Liquorfile Product from LMG Marketing and purchase the Price Book module for their Idealpos software. Before a Price Book is supplied by LMG Marketing, there is an option in Idealpos to send LMG Marketing the Liquorfile Link Data. This data file is used by LMG to create Link files for Stock Items, Departments and Suppliers. LMG will match the Stock Items in Idealpos with the Products in their Liquorfile Price Book.

Liquorfile will provide Idealpos with the following data:

Departments

You can match the Departments in Idealpos to the Departments provided in the Liquorfile. If you have existing items and are linking the Liquorfile products to them, Idealpos will use the department that is already associated with the stock item.
If the Liquorfile updates the POS database and adds NEW items, the department they are linked to will be determined by the department already set in the Liquorfile.
You should match the Departments in Idealpos to the Departments in Liquorfile so any future items are automatically linked to the correct department.

Stock Items

If you have exisitng Stock Items, LMG Marketing will provide link files to link the Stock Items in POS to the Product in Liquorfile. You can also manually link each Product in Liquorfile to your Stock Items.
If you are starting with a new POS database, you can import the full list of products from Liquorfile so the POS stock item and the Liquorfile Product Code are the same.
For new items Liquorfile will provide the Stock Code, Description. For both New and Existing items, Liquorfile will provide cost prices (for selected items only) and Bar Codes (imported as Alternate Codes).

Suppliers

Liquorfile contains a list of all the Liquor Suppliers in Australia. You can either link your existing list of Suppliers to the Suppliers in Liquorfile or Add New Suppliers to the Idealpos database by selecting them in the Liquorfile. The Suppliers must be linked for the Supplier Stock Codes to be imported.

Supplier Stock Codes

One of the most valuable features of the Liquorfile is the automatic Linking of Supplier Codes to Stock Items. Once you have both Products and Suppliers linked to the Idealpos Database, POS will automatically inherit Supplier Codes from the Liquor File. If you have Stock Items thare are purchased from more than one supplier, Liquorfile will import multiple supplier codes.
